We use server based archiving via a policy. Everything older than one year 
is moved to 
a separate archive server, when we run the job compact -a. 

When you set an archive policy on a user it creates a new link in in-box 
left navigator with the policy name.
So if you click on the link in the left navigator called Archive and then 
the policy name to open the archive database. Simple
and effective. 

Users are also prohibited from running scheduled archiving on their PC. 
They can only do archive selected documents
and the policy will prompt them to select the archive file on the archive 
server.

We archive allot of users, and from time to time I check the access logs 
on the archive server. Guess What!  Barely anyone
uses their archive file.
